Litchfield Public Library has a meeting room, the Carnegie Meeting Room. The meeting room is not the primary purpose of the library and meetings should not be allowed to disrupt other Library patrons. People reserving the Carnegie Meeting Room need a Minnesota driver's license or Minnesota picture ID. This room is not a public forum.
The use of the Carnegie Meeting Room Will be on a first come first serve basis serving the needs of the community for educational and cultural events. The room may not be used for fundraising purposes except for library sponsored events. The Carnegie Meeting Room may not be used for programs involving promotion or sale of products or services. In general, profit-making activities are not permitted in the library. The Library Broad reserves the right to monitor all meetings held on its premises. The individual reserving the Carnegie Meeting Room needs to be a Meeker County resident over the age of 21. The room may be used by other individuals but the person responsible needs to be a Meeker County resident and be present for the meeting.
The Carnegie Meeting Room may be used free of charge by non-profit organizations. Any training or education done with a for profit business shall be charged $25 for a half day and $50 for a full day. Meetings can be scheduled from 8:00 AM to 10:00 PM weekdays and 8:00 AM to 5:00 PM Saturdays. The only area of the Library available is the meeting room, lobby, and public restroom. The person reserving the room shall be assessed costs for damages. Fees need to be paid with the application; if the cancellation is 48 hours prior to the meeting the fee will be refunded. Checks should be made payable to “City of Litchfield, Library."
The Library does not allow regular, weekly use of the Carnegie Meeting Room. No group can use the Library address or phone number as its own personal address or phone number.
Groups requesting to use the Carnegie Meeting Room should complete an application form available at the Library. The application needs to be made at least 48 hours in advance for regular hour use. After receiving a completed application, the staff may approve the application and confirm the booking. F or meetings before 10:00 AM and after 8 :00 PM, the application needs to be 2 weeks in advance. Confirmation will not be given until proper authorization is obtained by the Head Liberian and applicable fees are paid. If there is a meeting that this policy does not cover, the staff may refer to the head Librarian, who will approve it or refer it to the Library Board.
Children's groups may use the Carnegie Meeting Room as long as adequate adult supervision is provided. An adult sponsor will need to complete the application form and be present.
The Carnegie Meeting Room has tables, chairs, dry easel, paper easel, and a coat rack. These items come with the room reservation. Also available are overhead projector, TV VCR, LCD projector, and laptop. These items need a signature accepting liability for their use and security. If items are not available to staff at the completion of the meeting, the individual or group will be billed for their replacement. Tables and chairs must be returned to their standard room placement. Electronic equipment will be checked by staff. The person reserving the room shall be assessed for loss and damages. The kitchenette has a refrigerator and basic furnishings. There are no plates, cups, or silverware. Please also be aware that there are no vending machines in the Library. Also available are large coffee maker, serving plates, and microwave. These items need a signature accepting responsibility for their use. Light refreshments may be served in this room. Groups are responsible for their own clean up. The person reserving the room will be assessed loss or damages for the room or equipment.
A local, dial out only phone is located in the lobby. The staff will not take messages for people using the Carnegie Meeting Room.
There is limited off street parking for Library patrons. Groups are encouraged to find parking space outside the Library parking lot to leave space for Library users. The City of Litchfield has no time limitations on parking in this area.
The person reserving the Carnegie Meeting Room agrees to pay for damage or loss to any property of the Litchfield Public Library resulting directly or indirectly from the conduct of any member or agent of the organization to its invitees.
It is understood that the City of Litchfield and Pioneerland Library System assume no responsibility for any property placed in the Library in connection with any meeting or event; and that the City of Litchfield and Pioneerland Library System are hereby expressly released and discharged from any and all liability for any loss, injury, or damage to persons or property which may be sustained by reason of a meeting or event. The fact that a group is permitted to use the Carnegie Meeting Room does not in any way constitute endorsement of the group's policies or beliefs. No advertisements or announcements implying such endorsements will be permitted. Any public announcements need a disclaimer stating this is not a library sponsored event.
